Fernis (hereinafter: “we”, “us”, “our”) is highly committed to the protection of the privacy of our visitors and users (“you”, “your”). This Privacy Policy (the “Policy”) governs collection and usage of data and applies to how we collect, store, share, and use your information.

Collection of Your Personal Information

We only collect non-sensitive Personal Information and data, and only the information you willingly and knowingly provide to us, as a means to get Services from us, e.g. by subscribing to our newsletter service, sending us an application, or signing up to news about, or applying for participation in, Fernis Supporters.

The kinds of Personal Information, we gather, is non-sensitive identification information such as:

  • Profession or job title
  • Interests in relation to our field of services

Furtherly, if you apply for a job in our Company, we collect the recruitment information, you knowingly provide to us, such as:

  • Former employment

  • References
  • Photo

Recruitment and Applications

If you apply for a job in our Company by sending us an application and attachments to this, the submitted documents will be read by the relevant manager for the purpose of answering and evaluating the content in relation to a defined job. Applications and attachments are shared internally with relevant persons in the recruitment process and are not disclosed to anyone outside the Company.


Application and hereto attached documents are saved until the candidate is found and the recruitment process has been completed. Afterwards, the application and attachment will be deleted, unless we obtain special consent from the applying candidate.

For unsolicited applications, the application and attachment will be saved for 6 months. If an application and attachments are saved for more than 6 months, special consent will be obtained from the candidate.

Supporter Applications

If you apply for participation as a Fernis Supporter, not to be confused with signing up for news, you will be asked to provide us with the following information:

  • Name
  • Title
  • Company
  • Department
  • Company Address
  • Email
  • Phone number

Hereafter, the submitted information and attachments will be read by relevant persons in our Company and the governing board. Applications will be treated like unsolicited applications (see above). Thus, the application, attachment and information will be saved for 6 months. If application, attachments and related information are saved for more than 6 months, special consent will be obtained from the applicant.

Security

We have implemented appropriate technical and organizational measures to ensure that your information will not accidentally or illegally be deleted, published, lost, impaired, misused or otherwise treated in violation with the law.

Legitimate Purpose

We use the above-stated Personal Information to provide you with the Services, that you actively subscribed to receive from us. We use this Information for the following purposes:


  • To provide you with Services which you subscribed to, such as news about our company via e-mail. When you subscribe to our Services, we use a double-opt registration system to be sure, that you agree on receiving our newsletter
  • Administration of employees and applying candidates
  • Optimization of products, services and user experience
  • Marketing

We only process Personal Information to the extend to what is necessary to fulfil the legitimate purposes. We do not process the Information for new purposes which is incompatible with the original legitimate purposes

  • The processing is necessary to fulfil a contract between the registrant and the company

Opt-out and Withdrawal of Information

We respect your privacy and your right to have your information attended or deleted. You have the right to have your information corrected or deleted in our system at any time by contacting us.


Your consent for receiving newsletters is voluntarily and you can withdraw it at any time by contacting us. If you no longer want to receive our newsletter, you can click the link “xx” in the bottom of any newsletter to unsubscribe. If you want your information to be deleted in our system as a whole, please write us at XX. We will store your information, until you notify us, that you no longer wish to receive Services from us.


The information is kept for the time allowed by law and we delete them when they are no longer necessary for deducting the purpose stated in this Policy. The period depends on the character of the information and the background for storage. Therefore, it is not possible to specify a general timeframe for when information is deleted.

Thirdparties

We use a number of third parties to store and process data, including IT solutions, backup, external bookkeeper, and newsletter publisher, with whom we have GDPR compliant data processing agreements. These third parties only deal with Information on our behalf and may not be used for their own purposes. Where appropriate, data is transmitted to banks and debt collection. Disclosure of Personal Information such as name and e-mail, etc. for other purposes, will only occur if you consent to it.
